Convention Plan

     Le Classique offers a wide variety of large and small events. Our upcoming event is being held for the American Association of Certified Wedding Planners. The AACWP picked a wonderful resort to hold their event, as our venue caters specifically towards weddings and romance.

 

     Our theme and design will aid in creating a timeless event for the 400 attendees planning to arrive February 10-13, 2017. We organized a cohesive weekend around Valentine's Day to help amplify the power of love and romance. 

 

     Strategic Development: We decided to accept this convention because the association is a perfect fit for our resort. We cater towards weddings specifically. By hosting this convention, we also showcase our facilities in hopes to book future weddings and create partnerships with fellow wedding planners who will choose us as their hotel of choice. 

 

     Creative Development: Our plan to host this large convention is to seperate the large events into each of the three days. The main events in the convention will be first a cake decorating event on the first day. This will be the largest event of that day. The next day we will hold a wedding dress and tuxedo showcase.  Finally we will end our convention with food and wine showcase for our planners to choose their favorite venders. More about these specific events can be found on the next page. 

 

     The best way for Le Classique to hold this large convention is to keep these large events seperate for our days to not be too jam packed with things going on. To create a timeless and romantic atmosphere, our resort will be decorated to a tasteful extreme to promote creativity and inspire our guests. 

 

     Event Development: Our various lines of business will be supporting this large convention in many ways.  Our food and beverage team will be supporting this convention in full force by providing all the prepared meals in the banquets and ensuring all guest satisfaction. They will also be assisting in our cake decorating event. The merchandise and sales team will help by assisting vendors with selling and opening our shopping outside of traditional hours.

 

     Our recreation team will be providing the space and facilities to host our events. Unfortunatly the recreation fields will be closed to the general public during the events. Finally our front office and housekeeping team will be working twice as hard to be able to clean and check in and out every guest efficiently. 

 

     Communication Strategy: Our key message in hosting this convention is to provide an opportunity for wedding planners to continue their education, professional development, and certification opportunities. By giving countless number of learning opportunities, our guests can learn and enjoy with this experience.

 

     We will communicate this by keeping our events sophisticate, yet also enjoyable. They should be able to learn from our events but also have fun. Our target market for the convention is guests who are part of the AACWP, people who are curious about weddings, and brides and husbands to be who are trying to plan their perfect wedding. 

 

     Event Execution: To ensure our convention will exceed the guests expectations without any noticeable concerns will be to always be strolling the area, looking for problems before they arise and fixing things before they happen. Our biggest priority is prevention. We will continue to ask guests what they want and need and deliver without questions asked. 

 

     Event Evaluation: Potential learnings from this convention is to see how to handle such a large group of people. We can do trial and error in differents ways to check in and out guests, try different staffing options and different set upand tear down options. Some problems that may arise is the shear amoutn of people on the property, as it may get crowded. This is one thing we cannot control or change. 

 

     To record our potential learnings, we will require each of our guest service managers to record any complaints or comments from any guests, not just from the pre- or post- convention meetings. We will try to fix any problems at all to keep the business coming back. We strive to provide a smooth and enjoable experience for all of our guests, including convention attendees.
